This policy covers the LingoPBX website and service. Please read it together with our terms of service and cookie policy.
Who we are
This policy explains how [Company legal name] ("LingoPBX", "we", "us") collects and uses personal data when you visit lingopbx.com, contact us or use the LingoPBX service.
[Company legal name], [Registered address], is responsible for the personal data described here. You can reach us at hello@lingopbx.com.
What we collect
- Contact and account details: your name, work email, company, phone number and anything you enter in our forms or your account.
- Call data: when LingoPBX answers calls for a customer, it processes call audio, transcripts, translations, caller phone numbers, call times and call summaries.
- Billing details: your plan, currency, invoices and payment status. Card payments are processed through our bank's 3D Secure payment system, and we don't store card numbers.
- Technical data: IP address, browser type, pages visited and log data created when you use our website or service.
Our role for call data
When LingoPBX handles calls for a business, that business decides why and how the call data is used. The business is the data controller, and we process call data only on its behalf and according to its instructions.
If you called a business that uses LingoPBX, please contact that business first about your data.
How we use personal data
- To provide and operate the service, including answering, transferring and translating calls.
- To create and manage accounts, take payments and send service messages.
- To answer questions and support requests.
- To keep the service secure and prevent misuse.
- To improve the service using usage statistics.
- To send marketing emails, only if you have agreed to receive them.
- To meet our legal obligations.
Legal bases
We process personal data because it is necessary to perform our contract with you, to comply with legal obligations, for our legitimate interest in running a secure and reliable service, or because you have given consent. Where we rely on consent, you can withdraw it at any time.
Speech and AI processing
To answer and translate calls, call audio is processed by speech recognition, language and voice systems. Some of these systems may be provided by technology partners who process the data only on our instructions and under written agreements.
[List your telephony and AI providers here, or link to a list of sub-processors.]
Who we share data with
We share personal data only with:
- service providers who host our systems, connect calls, process speech, send emails or take payments for us;
- the business you called, for call data processed on its behalf;
- public authorities, where the law requires it.
We don't sell personal data.
International transfers
Some of our service providers may be located outside your country. When personal data is transferred abroad, we use the safeguards required by the applicable law, such as standard contractual clauses, or your explicit consent where the law requires it.
How long we keep data
Call recordings and transcripts are kept for the period each customer sets in their account, then deleted. Account and billing data are kept while the account is active and afterwards for as long as tax and commercial law requires. Form submissions that don't lead to a contract are deleted when they are no longer needed.
[Add your exact retention periods.]
Security
Call audio and stored data are encrypted in transit and at rest. Access is limited to authorised staff and to each customer's own team. No system is completely secure, but we work to protect your data and will notify you and the authorities of a data breach where the law requires it.
Your rights
Depending on where you live, you can ask us to:
- confirm whether we process your data and give you a copy;
- correct inaccurate or incomplete data;
- delete your data or limit how we use it;
- stop using your data, including for direct marketing;
- transfer your data to another provider.
To use these rights, email hello@lingopbx.com. You can also complain to the data protection authority in your country.
Children
LingoPBX is a service for businesses and is not intended for anyone under 18. We don't knowingly collect personal data from children.
Changes to this policy
We may update this policy. When we make significant changes, we'll update the date at the top of this page and, where appropriate, tell customers by email.
